The proforma before the sale, the invoice after it
A proforma states what the sale will come to before the goods ship or the work starts, and the invoice states what is now owed; billing software has to issue the first and turn it into the second without retyping, so the two agree. The proforma on this site works the lines, the discount, the tax and the freight; the paid plan keeps it against the customer and issues the invoice from it.
Payments and credits applied, the statement sent
Each payment and each credit note is applied to the invoice it settles, and the statement of the period carries the opening balance, the invoices, the payments and the credits to the closing balance. Sent at the same time every period, the statement is the customer's reminder and the business's record; the paid plan sends it and the overdue reminder after it.
What is outstanding, read from the record
The software's last job is to say what is owed: the invoices outstanding, how much of it is past due, and how many days the money takes to come in. The tracker on this site reads those from your own figures; the paid plan reads them from the invoices it keeps, so the answer is a page rather than a folder.
